Job Description:

General Description: Supervises an office or clinic staff and performs duties similar to those of their subordinates.

Essential Responsibilities:

  • Subordinate Duties. Performs duties similar to those of their subordinates.
  • Supervision. Supervises an office or clinic staff of five or more employees. Selects new personnel, performs office orientation, training and development, conducts performance evaluation, and disciplines employees. Provides authoritative information for the department or unit.
  • Office Operation. Ensures the office or clinic runs smoothly. Establishes and documents procedures and guidelines. Establishes timeframes to ensure functional departmental goals and objectives are met.
  • Work Coordination. Coordinates the work within the office or clinic and with other University units or agencies.
  • Planning. Anticipates need for supplies, space, and personnel staffing. Makes a recommendation regarding such matters.
  • Accounting. Prepares budget and maintains budgetary records. Maintains and processes financial paperwork. Determines if purchases and funding sources are appropriate. Provides financial information on status of accounts.
  • Research. Performs various forms of research, information gathering, problem solving, and interpretation of policies and procedures.
  • Record Maintenance. Maintains confidential records including correspondence and personnel files. Maintains inventory of supplies and equipment.

Minimum Qualifications:

Education: None required.

Experience: 4 or more years professional work experience, including at least 1 year of experience in clerical/secretarial in a lead, senior, or project management role.

OR an equivalent combination of education and experience

License(s)/Certification(s)/Registration(s) Required: None required.

Knowledge, Skills and Abilities:

  • Excellent verbal and written communication skills.
  • Proficient with the use of Microsoft Office tools.
  • Strong organizational skills
  • Strong attention to detail
