Come and join our team at this 605-room convention center hotel in the heart of downtown Oklahoma City. Our luxury hotel is located next to the Paycom Center(OKC Thunder), the Oklahoma Convention Center and across the street from the 70-acre Scissortail Park.

The property includes an all-day dining outlet (Seltzer's Modern Diner), an entertainment sports bar (OKC Tap House), specialty restaurant (Bob's Steak & Chop House), coffee shop (Park Grounds) and a retail outlet (RareBird Gift Shop). Additionally, guests can enjoy a Mokara Spa, fitness center and a rooftop pool and bar (CatBird Seat) complete with a fire pit, outdoor lawn and cabanas. The hotel offers 76,000 square feet of meeting and event space inclusive of a 20,000 square foot ballroom, 10,000 square foot ballroom, and a 4,200 square foot outdoor pre-function space that overlooks the park.

Job Description

An amazing opportunity to be a pivotal part of the Omni convention collection hotel. The Omni Oklahoma City Hotel is a true outdoor recreation, entertainment and culinary destination paying homage to the heritage and modern progress of the city. With 605 guest rooms and suites, the luxury hotel will showcase views of the 70-acre Scissortail Park and the downtown skyline with 75,000 square feet of meeting and event space, sports bar, specialty restaurant, coffee shop and a retail venue.

The Omni Oklahoma City Hotel is seeking an experienced Catering Coordinator to join the team of this upscale hotel in the heart of Oklahoma City. The Catering Coordinator is responsible for clerical, administrative, and other duties to assist in the smooth operation of the Catering & Convention Services department. They are also responsible for providing attentive, courteous and efficient service to all guests.

Responsibilities
    Answers incoming telephone calls from all Sales/ Catering lines
  • Responds to telephone inquiries by determining client's needs and specifications for referral to Catering Sales Managers
  • Processes all incoming correspondences
  • Ensures that all filing systems are maintained according to spec's
  • Gathers and organizes all materials for weekly/monthly reports as directed
  • Daily office duties to include Event Reader Boards, BEO Change Log and Schedule of Events
  • Assist managers with VIP amenities, site alert forms etc.
  • In charge of all paperwork involved when turning over a catering file from tentative and definite (signed agreement, estimate, room blocks, MOP, booking recap, suite request forms)
  • Responsible for making sure that the front desk has wedding packets available
  • Creates Resume Shells to assist the Catering & Convention Services Mangers
  • Completes necessary documentation for telephone requests, amenity requests, key requests, banner requests, transportation request and vendor requests, suite requests and AV requests
  • Assists with creating and making changes to Banquet Event Orders (BEO's)
  • Coordinates Menu Tastings
  • If needed, will assist with site visits
  • Multi-task and prioritize multiple requests and information; time management skills are necessary
  • Detailed knowledge of the hotel meeting space, group dynamics and event details
  • Property-wide departmental interaction
  • Knowledge of hotel services and events
  • Ensure an efficient and professional working environment with open communication
  • Coordinates and provides office coverage when Sales Administrative Assistant is out of office
  • Special projects and other duties as assigned by Director of Catering & Convention Services
  • In the absence of the sales coordinator/MRC assumes responsibilities for completing essential tasks normally completed by that individual.
Qualifications
  • Must have working knowledge of Excel, Word, Outlook, Power Point
  • Required to work flexible schedules, this includes some evenings and weekends
  • Must be organized and detail oriented.
  • Must be able to handle multiple tasks at one time.
  • Previous hotel, catering, and Delphi FDC experience preferred.
  • Good time management skills.
  • Knowledge of Windows, Microsoft Office and Excel.
  • Ability to communicate effectively in both verbal and written forms.
  • Must live within 50 miles of the hotel.
